Privacy Policy
How Aextil Federal handles the information you give it and the information it collects.
Effective 6 October 2026
Who we are
Aextil Federal is a software platform operated by Federal IQ LLC. This policy covers the public website and the authenticated application.
What we collect
We collect four kinds of information, and they are worth separating because they are treated differently.
- Account information — the name, business email address and company of the people you authorise to use the platform. This is what signs you in and what tells one workspace from another.
- Information you supply about your business — capability statements, past-performance records, company registration details, documents you upload, and the decisions you record against opportunities. This is your material; you decide what enters the platform.
- Usage information — what was built, when a workspace was rebuilt, and errors the system encountered, kept so the service can be operated and problems diagnosed.
- Demonstration requests — if you ask for a demonstration through this website, the name, company and work email address you enter, a telephone number if you choose to give one, which part of the work you are most interested in, the page you sent it from, and when it arrived. It is sent to the application we operate, not to a form, mailing-list or analytics service, and nothing else about your device or connection is stored with it.
Public federal data
Much of what the platform reads is published by the United States Government — SAM.gov notices, award records, agency contact details as the Government itself publishes them. That material is public, it is not yours or ours, and it is not treated as confidential business information. It is the corpus the platform reasons over.
How your information is used
To provide the service you asked for: to match published federal opportunities against your company record, to assess fit, to keep your pursuit decisions, and to prepare draft responses from evidence you have approved.
If you ask for a demonstration, we use what you send only to arrange it and to follow up with you about it. We do not add it to a mailing list.
We do not sell your information. We do not share it with advertisers, and we run no advertising on this site.
One company cannot see another
Each company’s evidence, decisions and drafts are held in that company’s own store. Where a joint venture draws on a member firm’s past performance, it does so only because the joint-venture relationship has been declared, and the material stays labelled with the workspace it came from.
We do not use one customer’s business information to build, populate or improve the service for another customer.
Nothing reaches the Government without a person
No response is submitted and no representation or certification is made automatically. A person reviews the work and acts deliberately. This is enforced by the system, not only by policy.
Service providers
We use a small number of third-party providers to operate the platform — for example hosting and payment processing. They receive only what they need to perform that function. Payment card details are handled by the payment processor and are not stored by us.
Keeping and deleting information
We keep your information for as long as your account is active and for as long as we need it to meet legal and accounting obligations. You may ask us to export or delete your company’s material; write to us and we will tell you what we hold and what we can remove.
A demonstration request is not deleted automatically. If you would rather we did not keep yours, whether or not the demonstration took place, write to us and we will delete it. Copies may remain in our encrypted backups until those backups expire.
Backups are encrypted, and deletion from live systems reaches backups as those backups age out of retention rather than instantly.
Cookies
This public website sets no cookies and runs no analytics or tracking scripts. The authenticated application uses a session cookie for the sole purpose of keeping you signed in.
Changes and contact
If this policy changes we will update the effective date above and, for a material change, tell account holders directly.
